Executive Assistant & Projects Manager
(Part-Time, 25 hrs/week)

The Cinema Arts Centre is seeking a highly organized, proactive Executive Assistant & Projects Manager to support senior leadership and help ensure smooth coordination across multiple departments. This role is ideal for someone who enjoys keeping projects moving, creating structure, and supporting a dynamic, creative workplace.

The Executive Assistant & Projects Manager will manage short- and long-term projects, coordinate interdepartmental communication, coordinating employee evaluations alongside leadership, and provide administrative support to the Executive Director. Scheduling is flexible.

This position is a “roll up your sleeves” and do whatever it takes to get the job done!

RESPONSIBILITIES

Project Coordination & Management

  • Track progress on short-term and long-term organizational projects
  • Develop timelines, task lists, and accountability systems
  • Follow up with staff and departments to ensure milestones are met
  • Support planning and logistics for theater initiatives and events

Executive & Administrative Support

  • Assist the Executive Director with scheduling, correspondence, and administrative tasks
  • Prepare reports, meeting notes, and follow-up documentation
  • Support board meetings and strategic planning sessions as needed

Employee Relations & Evaluations

  • Assist in the coordination of employee evaluations
  • Support staff development conversations and goal tracking
  • Help maintain positive communication and workplace culture

Cross-Department Collaboration Work closely with:

  • Development on fundraising deadlines, grant tracking, donor events
  • Technical Team on equipment needs, screenings, and workflow updates
  • Youth Outreach on program schedules, community partnerships, and logistics
  • Operations on staffing, theater maintenance, and policy implementation

QUALIFICATIONS

  • 2+ years of experience in project management, administrative coordination, or related work
  • Strong organizational and time-management skills
  • Excellent written and verbal communication
  • Ability to collaborate across departments and manage multiple deadlines
  • Comfortable working in a creative environment with shifting priorities
  • Familiarity with arts, nonprofits, or independent film is a plus (not required)

COMPENSATION

  • Part-time position at 25 hours/week
  • Hourly rate of $25-27/hr.

Hourly Theater Operations Staff & Hourly Managers

The Cinema Arts Centre is seeking interested and qualified applicants for hourly associate staff positions within our Theater Operations Department. Positions are available for both associate floor staff and hourly box office managers. Position: Part-Time Box Office Manager/Hourly Manager

Position Type: Hourly – Part Time (approx. 20-25 hr/wk)

Description: The Box Office Manager position leads hourly theater operations associate staff and acts as a manager on duty during day-to-day operations. 

Responsibilities:

  • Work primarily in the Box Office and function as a team leader for hourly associate staff.
  • Training/Supervising front of house staff.
  • Oversee box office sales including but not limited to ticket sales, memberships, gift cards, donations and café sales.
  • Answer phones and provide customer service and troubleshooting support for patrons buying tickets on the website.
  • Best cash handling practices strongly preferred and previous experience in retail or restaurant management required.
  • Will be required to work opening and closing shifts when needed – knowledge of daily cash reconciliation strongly preferred.
  • Previous experience with computer software programs such as Microsoft Office and Adobe.
  • Some tech work including powering on/off film projectors, starting digital film screenings, and setting up microphones.
  • Will be responsible for the quality of work completed by front of house staff when it comes to cleaning in the theaters between film sets, cleaning restrooms, and cleaning café and concession stand areas. When the situation requires you are expected to help clean as well if necessary.
  • Must be able to work a flexible schedule. Evenings, weekends, and holidays are required. Some late nights and early mornings are to be expected.

Requirements:

  • Previous management experience in retail, restaurant/food service, or live venue.
  • Familiar with Point of Sale and event ticketing systems.
  • Ability to multitask and maintain calm under pressure and when dealing with large crowds.
  • Must be available to work late nights, weekends and holidays.
  • Must have use of a car for occasional business errands (reimbursement for car/gas use will be granted upon completion of mileage forms).
  • Must be able to lift up to 50 lbs.
  • Passion for the Cinema Arts Centre’s mission, to bring the best in cinematic artistry to Long Island.

Preferred:

  • 2 to 3 years management experience in a retail, theater, or restaurant setting.
  • Can exhibit exemplary customer service skills in a variety of settings.

Compensation:

Starting wage is $22/hr.

Position: Theater Operations Staff – Theater Usher, Cafe (Hourly)

Position Type: Part-Time (approx. 20-25 hrs/wk)

Description: Associate staff hourly employees will be expected to perform the job functions and duties of at least one or all hourly staff positions on a rotating basis or as needed/required.

Responsibilities:

THEATRE USHER

  • Greet customers and guests at the Cinema.
  • Scan tickets and admissions to assess they are valid for movie screenings and events.
  • Assist theater guests with finding their seats when necessary.
  • Cleaning theatres, lobby, bathrooms and restocking bathrooms between sets and when needed.
  • Emptying garbage cans, trash receptacles, and recycling bins when full.
  • Maintain knowledge of regular Cinema activities and upcoming events.
  • Responsible for cleanliness in outdoor garden and patio area.
  • Shoveling and salting pathways when needed.

CAFE

  • Light cooking and preparing of meals for Cinema Arts Centre patrons.
  • Operating our P.O.S System/registers.
  • Opening and closing the café on week days and weekends
  • Make sure all patrons consistently receive friendly, helpful and fast customer service.
  • Maintain ongoing knowledge of upcoming events, the CAC Membership program, and additional ways to get involved.
  • Answer guest questions courteously and accurately or quickly direct them to the appropriate resource.
  • Work effectively with café manager and fellow café staff as one team.
  • Clean and maintain the exterior and interior areas of the Sky Room Café.
  • Assist fellow staff with other functions and perform other duties as directed by Café Manager.

Requirements:

  • At least one year of customer service experience in food service or retail.
  • At least one year of experience operating a Point of Sale system.
  • Ability to multitask and maintain calm under pressure and when dealing with large crowds.
  • Must be available to work late nights, weekends and holidays.
